Tent Safety & Procedure

Safety is everything.

ACE Party Rentals is committed to providing regular tent safety checks. In the interim, there are things you can do to maintain a safe environment. A tent provides great shelter but is not a storm shelter or safety plan for high winds and storms. Please have an evacuation plan in place if the tent becomes unsafe. Discuss that plan now. Make sure you know exactly what to do if extreme weather hits. Also be aware of the amount of time necessary to move elsewhere if you decide to switch to another location.

 

Wind

When a tent is expertly built it can withstand high levels of winds. The degree of resistance is determined by the specific setup (i.e. sidewalls) and environmental factors. For your safety, if wind gusts are over 30 miles per hour and/or you have received a weather alert warning, leave the tent immediately and seek shelter elsewhere until the wind dies down.

 

Rain & Snow

The accumulation of rain and snow can put extra weight on a tent and start creating accumulation pockets. If you start seeing accumulation, push up under the inside tent edges to help remove the build-up of snow or water regularly, using a broom or anything that will not puncture through the tarp. If the tent is unmanned for a long period of time during inclement weather, please ensure this is done regularly.

 

Anchoring & Structure

Please notify us if you see any damage to the tent including webbing, stitching, seams, buckles, snaps, ratchets, winches, frame fittings, tent jacks, pole fittings, frames and joints, for any extensive wear, cracks or damage.

 

Other items

Ratchets may become loose after time and need to be retightened. Please contact your rental company if you need guidance.

Sidewalls are hung onto an inner rope that goes around the circumference of tents connected by hooks every six inches (very similar to a shower curtain). Every 10′ or 20′ the sidewalls are connected by long vertical Velcro strips. You can easily open and close sidewalls at the connected points and fold back the wall and securely attach back to the inner guide rope or gather and tie to a tent leg.

Lighting and other electrical items: When leaving the tent for long periods of time, be sure to unplug all electrical equipment. If you notice plugs are unusually hot, disconnect immediately.

Hygiene & Cleaning

We have taken the Loudoun is Ready pledge to continue committing to the best health and safety practices for our staff and customers as we enter COVID-19 recovery.

We continue to support our community through emergency services such as triage, testing, and food distribution tenting. Based on recommendations of Virginia Governor Ralph Northam’s guidance in opening for Phase 1 and in the interest of public safety, we are only renting tents, tent accessories, tables, and chairs.

 

How we keep our team and you safe.

With every rental, we are taking precautionary measures to protect our customers and staff from any cross-contamination by sanitizing with antibacterial products before and after any rentals, Health and Safety being one of our Five Core Values.

  • We conduct daily health screenings of our team.
  • Our team works within small dedicated groups to contain opportunity of spread of any virus.
  • Masks and gloves are worn throughout the day by the team and staff and exchanged according to task.
  • High touch locations are sanitized daily.

 

How we clean, disinfect, and sanitize.

All equipment is sanitized before and after each rental.

The delivery crew follows strict cleaning guidelines, disinfects the trucks, as well as changes their gloves and masks for each new customer. Onsite equipment, such as dollies and hand trucks, is also disinfected.
